How Spitfire Homes eliminated their reporting admin with One.site, a single source of verified site data.

Overview

Every check-in does more than open the gate.

Spitfire Homes, part of IM Group, is one of the Midlands' fastest-growingindependent housebuilders. With an expanding portfolio of sites across the regionand a reputation built on design quality and customer service, deliveringconsistent, compliant site operations at scale is a non-negotiable for them.

Spitfire Homes has used One.site across 14 total sites since July 2022. What startedas a way to manage remote inductions and site attendance has becomesomething more: a single source of verified data that feeds three separatecompliance and reporting obligations, with no additional admin required toproduce any of them.

Challenge

Safety reporting, planning compliance, and carbon accounting allneeded the same information, and it had to be chased every time areport was needed.

Calculating an Accident Frequency Rate requires total hours worked on site. Ontop of that, Section 106 obligations increasingly require evidence of local labour, and Scope 3 carbon reporting requires commuting data.

‍

Previously, gathering this information involved coordinating with teams acrossmultiple sites and consolidating data from different sources. This added time andcomplexity to the preparation of board reports and planning returns, creating anopportunity to streamline the process.

Solution

Spitfire Homes found that One.site could capture everything theyneeded

Every time an operative or member of the Spitfire team checks in, One.site recordswho they are, when they arrived, how long they spent on site, and the distancethey travelled to get there. That single event feeds into four separate reporting requirements:

  • Accident Frequency Rate reporting. AFR data is something that boards, insurers and auditors require. Each month, Spitfire pulls the previous 12months of hours recorded by operatives on site directly from One.site.Combined with any reported incidents, that produces a rolling AFR inminutes, rather than days.
  • Section 106 and social value returns. The same check-in data includesoperative distance of travel. This supports local labour evidence forplanning obligations and social value reporting, a growing requirement forresidential schemes across the country.
  • Apprenticeship commitment tracking. One.site enables Spitfire Homes toidentify apprentices working on each development and monitorsubcontractors’ delivery against agreed apprenticeship commitments. Thisprovides a consistent evidence base for contractor reviews, social valuereporting and targeted follow-up where commitments are not being met.
  • Scope 3 carbon reporting. Commuting distance can also feed directly intoSpitfire's Scope 3 calculations. No additional surveys or manual datacollection from site teams is required.

Since One.site captures verified, timestamped attendance data across every site,it doubles as a reporting platform, without any extra admin required. Before One.site, gathering the data for these reporting requirements meantfinding data in multiple places. Now, one set of check-in data answers safety, planning and sustainability questions with no extra admin needed.

"

Before One.site, producing reports often meant gathering information from several different sources. We can now use the data captured through each site check-in to support a range of reporting requirements, from safety and local labour to apprenticeships and carbon emissions. This has created a much more consistent and efficient reporting process, saving valuable time across the business.
